Job Description

Who We Are Excel Orthodontics, Inc is a family-owned company with decades of experience dedicated to crafting high-quality orthodontic appliances that serve dental professionals across the nation. Operating from Portland, Oregon and Seattle, Washington, we combine advanced technology with skilled craftsmanship to deliver products known for precision, durability, and esthetic excellence. Our company culture values collaboration, continuous learning, and a supportive environment where team members take pride in contributing to solutions that enhance patients’ smiles and overall health. The work environment is fast paced and timeline driven, where employees stay active and engaged throughout the day, fostering a strong sense of purpose and teamwork. What You'll Do Answer incoming telephone calls from orthodontic offices with professionalism and proper etiquette, providing courteous and clear communication to address questions about case status, delivery timelines, and shipping details. You will serve as a reliable first point of contact, helping maintain strong client relationships. Prepare orthodontic appliances for shipment by verifying prescription accuracy, and packaging each item carefully to meet company standards. Your attention to detail ensures that every appliance reaches the right destination on time and in excellent condition. Receive and process incoming doctor cases and physical impressions, accurately entering all information into the database. You will also prepare stone models by mixing and pouring impressions, supporting the production team with quality materials. Support 3D production by removing completed printed models from printers, cleaning and processing them according to established procedures, and preparing these models for further use in fabrication. This role requires adaptability as you assist with additional production tasks when needed. Maintain organized work areas within shipping, receiving, and front office operations to promote efficiency and safety. You will coordinate with drivers regarding pickups and deliveries, ensuring smooth logistics and timely fulfillment of orders. What You'll Bring A high school diploma or equivalent, paired with strong customer service skills and professional telephone etiquette that allow you to communicate clearly and confidently with clients and team members. Basic computer proficiency with the ability to quickly learn laboratory software and shipping systems, enabling you to manage case tracking, invoicing, and inventory tasks efficiently. Excellent organizational skills and the ability to multitask effectively in a fast-paced environment, prioritizing daily responsibilities while maintaining accuracy and composure under pressure. Physical stamina and dexterity, including the ability to frequently stand, walk, and move throughout the laboratory, as well as lift and carry up to 30 pounds safely. A proactive, self-directed approach with strong attention to detail, punctuality, and reliability, ensuring follow-through on tasks and contributing to a high-quality work environment. Experience or familiarity with customer service, dental or medical office environments, logistics, shipping, or production settings is highly valued and will help you adapt quickly to the role. A willingness to learn and grow, demonstrating curiosity and a drive to take on new challenges, especially in understanding orthodontic appliance production and laboratory procedures.
